Minutes from District III Band Directors Meeting 2/2/2008

The meeting was called to order at 10:00am by Jenny Ryan, Chairman
I.Welcome – Jenny welcomed everyone to the event.
II.Minutes – from previous meetings are posted on the vboda website. 
III.District Band Audition report – Gordon Rawls forwarded $3,699.34 to
             this weekend. 11,046 students participated in the auditions. The fee
             will need to increase by $1.00 (from $5.00 current to $6.00) due to
            Chesterfield Co. charging for custodial services.  Don Davis reported that all was going very well                 so far this weekend.  Don suggest that directors clearly note on the registration forms those                       students who play multiple instruments and that every one double checks the official lists to                      make sure that the student and school match. Jenny thanked Don for his hard works and his                    terrific band parents for the wonderful spread of food for the directors this weekend.  It was great!
IV.Festival Report-
           Jay Sykes is hosting weekend 1 (Feb 29 & Mar 1) at Goochland Middle/High School same place,              more school!  See Jay ASAP to sign up.
            Emily Marek & Marshall Jones – will host weekend 2 (Mar 6,7 & 8). 
           Send all money for both weekends to Emily Marek c/o LC Bird H. S.
V.Solo & Ensemble Report– Jim Neiner will host the event this year at
           Meadowbrook H. S. on April 12 and will have a mailing out soon.
VI.Jazz Festival Report – Jay Sykes will host this event at Goochland Middle/High
            School on May 10, 2008.  Judges are Allen Hall, Nate Simpson & George
               Sadler.

IX.String Report – SRO Auditions - Sept 13, 2008 at Charlottesville H.S.
                                SRO Event    - Nov 14, 2008 at Harrisonburg H.S.
                        It was suggested that the string folks send the audition material to
                                     the students in May.
X.Old Business –
           a. Middle School All-Virginia Band – the idea was shot down.  J
XI.New Business –
           a.All-VA eligibility & packets – you can register online at:

           b.Manual Fees – Jenny has a list of those paid.  If you haven’t paid, please do.
           c.Honorariums – have been increased as follows:
                       i.Auditions, District Band, Festival - $350
                       ii.Jazz Festival, Solo & Ensemble - $250
          d.Convention is at Homestead again – reservations can be made now!
          e.OTHER:
                       i.Earl Shaffer volunteered to host Festival at Cosby – either
                                weekend in 2009.  After discussion & taking a vote, it was decided, as noted
                                above, to have Goochland Middle/High and LC Bird continue to
                                 host the event for 2009.
                       ii.Invitations to participate in the events listed below were extended by their hosts:
                                    Bluestone Marching Band Competition- Oct 10 – Ricky Allgood host
                                    Music on the River – Kent Gall
                            US Navy Band @ Cloverhill HS May 15 – Steve Conley host- he has sent an email out.
                      iiiMOTION:middle school percussion students may choose to
audition on snare drum/bells or timpani or they
may choose to audition on both snare drum/bells
& timpani.  PASSED
       iv.MOTION:appoint a committee to select prepared music for
district auditions for both middle & high school &
have it prepared in Finale for future use. PASSED

SPECIAL PRESENTATION:
Suzanne Mallory-Parker presented retiring Jim Stegner with a plaque which recognized his                                      contributions and service to Chesterfield County.
Jenny Ryan presented retiring Jim Stegner with a card of appreciation and a gift certificate for $50.00                        in recognition of his contributions and service to District III.
Jim you will be missed and we wish you well in your retirement!
